While it’s the default app for Mac users, it offers much more than just basic scheduling if you know how to unlock its full potential.

Understanding the Difference Between a Calendar and a Calendar App

A calendar app is a tool you use to access, view, and manage various calendars, while a calendar is the continuous view (day, week, month, or year) where you add and track events. You can house multiple calendars for different areas of your life—work, personal, bills, or appointments—all within a single app like Apple Calendar.

Adding and Managing Multiple Calendars

To streamline your schedule, you can create multiple calendars to separate different parts of your life. For instance, you can have a calendar for work and one for personal tasks, or further split it into smaller sections like project deadlines, meetings, and personal appointments. Here’s how to create a new calendar:

  1. Right-click in a blank space on the sidebar and select New Calendar.
  2. Alternatively, in the menu bar, go to File > New Calendar and choose if it should be on iCloud or your Mac.

Storing calendars in iCloud is generally better, as it keeps them synced across all your devices. You can easily toggle between calendars, reorder them, or merge two overlapping calendars by dragging and dropping one onto another.

Syncing with Other Calendar Services

If you’re transitioning from another service like Google or Microsoft, Apple Calendar allows easy syncing. To add another service:

  1. Go to System Settings > Internet Accounts.
  2. Select Add Account, then choose your provider (Google, Yahoo, etc.).
  3. Sync your calendar, emails, contacts, and other data to your Mac.

Once synced, your external calendars will appear in the Apple Calendar sidebar, categorized under their respective service.

Sharing Calendars

Apple Calendar supports two sharing options:

  1. Private Sharing: Perfect for collaborative efforts, allowing invited users to modify the calendar.
  2. Public Sharing: Creates a read-only calendar accessible via a link, great for public schedules or events.

When to Opt for an Alternative

While Apple Calendar is powerful, some users may prefer alternatives like Google Calendar or Fantastical for their advanced features:

  • Google Calendar: Better for integrating with Google services and teams that use G Suite.
  • Fantastical: Offers more advanced customization, natural language event input, and better cross-platform functionality.

In short, Apple Calendar is a robust and feature-packed app, but if your needs expand beyond its functionality, there are plenty of alternatives available to meet specific requirements.
